Ask your team which AI tools they used this week. Then ask IT how many of those tools are approved.
The gap between those two numbers is shadow AI, and it may be your biggest AI risk right now.
What shadow AI puts at risk
Shadow AI is any AI tool or agent used for work without the company knowing about it or having approved it. It is rarely bad intent. Usually someone found a tool that saves them an hour a day. But every unapproved tool can mean:
- Company and customer data pasted into services you don't control, with no agreement on how it is stored or used.
- Decisions made with the help of AI, with no record of how they were reached.
- A blind spot under GDPR and the EU AI Act, which expect you to know how personal data is processed and which AI systems you use.
Why banning AI doesn't work
Banning AI rarely stops it. People use it anyway, on personal accounts and phones, and the risk just moves out of sight. The productivity gain is real, so the goal is to channel it, not block it.
What works instead
- A clear AI policy: which tools may be used, for what, and with which data.
- Approved tools that are good enough that people prefer them to the alternatives.
- Trained staff who understand the risks and the rules for their own role.
- An inventory of every AI system and agent in use, with an owner for each one.
None of this has to be heavy. A one-page policy, a short list of approved tools and a living inventory already close most of the gap.
How Alphaise helps
We help you find your shadow AI and bring it under control, without slowing your team down. We map which tools are actually in use, set up the policy and approved alternatives, train your teams for their roles, and keep an overview of every AI system and agent in the Alphaise platform.
